xxxx X xxxxStudent Updates : When and Howxxxx X xxxx


Student profiles are somewhat unique among the various types of profiles you can have in our guilds, because unlike all the others, they have to be updated on a yearly basis. So, here's a quick guide on how to handle doing updates, and what to expect.

xxxX What To Updatexxxxxxxxxxxxxxx

All student profiles need three things to be updated to be accepted for the following school year.
- The number in the profile thread title (indicating their year)
- Their age
- Their year in the profile itself
If these three things are updated, you aren't technically required to do any other updates. However, you are free to update whatever else you think you need to. Please be sure when updating backstory that your updates are permissible in the guild (more on that later), and that when updating personality your updates are in line with your character's development (don't completely change their personality out of the blue for no reason).

** There are additional updates required for students in fifth, sixth, and seventh year, and graduates.
- Students who are named Prefect their fifth year, or Head Boy/Girl their seventh, are required to include this section in their school information.
- Sixth year students must add their OWL scores from the previous year.
- Graduate profiles must add their NEWT scores from the previous year.


When you make these updates, please include 'Updated' in your thread's title, so that we know you've done the necessary updates and can check your character.


xxxX When To Updatexxxxxxxxxxxxxxx

During the guild's 'Summer' months, you will have a window of time to get your students updated for the next year. Typically, the cut-off date for updates is the 25th. After that date, profile checkers will begin the process of checking and re-accepting students. If your profile is not updated by that date, it will be moved to the Whomping Willow.

Certain sections of your profile can be updated at any time, and they do not need to be checked. These sections include:
- Nicknames
- Age
- Dream job
- Sexuality
- Relationship status
- Likes and Dislikes
- Face-Claim
- Pet

Certain sections of your profile must be checked when they are updated, and should only be changed during the Summer month. These sections include:
- Legal name*
- Gender**
- Personality
- Strengths and Weaknesses

* This section should only change if your character has their actual legal name changed. The reason for the legal name change should be included in the backstory.
**This section should only change if your character is transgender. Their gender section may indicate their assigned at birth gender, then be changed to their actual gender when they come out, or it may indicate that they are closeted, whatever you think is right for their current status. If your character is out and presents as their actual gender, their assigned at birth gender does not need to be included.


Certain sections of your profile will be added in as your character progresses. Once these sections are added, they cannot be changed. These sections include:
- House
- OWL/NEWT scores
- Prefect and/or Head Boy/Girl status*

*Even if your character's status as Prefect or Head Boy/Girl is revoked for whatever reason, it should be noted in the profile that it was revoked. The section should remain, however, for records.

Certain sections of your profile should not change. These sections include:
- Blood status*
- Wand**

* This section should always be accurate to the character's history, even if they don't know what it is. If they are an orphan pureblood who never knew their parents or history, their blood status is still pureblood. If they are personally unaware of this fact, you can note that in the backstory.
** This section can technically change, but it requires for the character's current wand to be destroyed. This will require a plot request and may only happen once to any given character.


xxxX What About Backstory and Fears?xxxxxxxxxxxxxxx

The backstory section is unique. It may or may not need to be checked, depending on specifically what sort of updates were made.

If your updates:
- Are mundane, everyday sort of occurrences like attending lessons, going to Hogsmeade with friends, etc
- Were posted in either this guild, or Ministry of Magic and the Wizarding World
- Were a part of an approved plot request (whether it was posted or not)
Then they do not need to be checked over. You can add these details in at any time.

If your updates:
- Include changes to family history based on new information your character acquired (such as discovering they're adopted)
- Were not posted in either this guild, or Ministry of Magic and the Wizarding World
- Include unusual events or circumstances but were not part of a plot request
- Mark a major life change for your character that will radically alter them (such as the death of a relative)
Then they will have to be checked over. These updates should wait until the Summer month.

You may list as many fears in your character's profile as you like. Therefore, you may add new fears to the list without needing to have your profile checked. You may likewise remove fears that your character has grown out of (so long as they always maintain at least one fear in their profile). You will only ever need to have your profile checked if you add or remove a fear that is a character-defining trait. The reason for this change should be discussed in the backstory.

xxxx X xxxxStudent Updates : Thread Status Indicators and Warningsxxxx X xxxx


Thread Status Indicators are acronyms or notes included in your thread title to indicate the current status of your profile. Below is a list of the different status indicators you or crew might add to your profile's title. Make sure that you, as a member, are aware of what words and acronyms you should use to keep crew aware of what's going on with your profile.

xxxX Status Titles Added By Membersxxxxxxxxxxxxxxx

U/C - "Under Construction". If you are currently working on a new profile and it is not yet ready for review, please include this in the thread title to inform crew that they shouldn't look it over yet.
NCR - "Needs Crew Review". If your profile is complete and ready to be looked over, please include this in the thread title to let crew know they should check it.
House Added - After the sorting ceremony, you are responsible for going in and adding your character's house to their profile. If you do not add it or fail to include this in your title, your profile will be removed to the Whomping Willow when the Student Profiles Manager goes to accept first year profiles.
Updated - If you have made changes to your profile and it is ready to be checked over for the new year, please include this in the thread title to let crew know you have updated it. Yes, even if you just changed their age and year. Any profiles without this indicator come profile checking time will be ignored and moved to the Whomping Willow come the start of the school year.


xxxX Status Titles Added By Crewxxxxxxxxxxxxxxx

Sign Guild Rules - This indicates that you have not yet signed the guild rules. You are required to do so before your profile can be reviewed by the crew.
Needs Editing - This indicates that your profile does not currently meet guild criteria and requires edits. The profile will have a note left by the crew member who checked it informing you of what changes need to be made. Please note that all requests made by crew are non-negotiable. Please note that after three edit requests, the profile will be denied and you will have to start over.
Pending - This indicates that your profile is acceptable, and your student is ready to begin the school year. You may post them at the train station and through the sorting ceremony/welcoming feast with this title. After that, you must add their house.
Accepted - The Student Profiles Manager will come through and accept all new profiles after the sorting is over. Provided their house is added, your profile will be accepted at this point and you are free to post them.
See Note - This indicates that, while there is no problem with your profile to prevent its acceptance, we have something we would like you to be aware of (this is usually a note about grammar, or a reminder to send in requests). A crew member will remove the note the next time the profile is checked.

xxxX Profile Warningsxxxxxxxxxxxxxxx

Why did I get a profile warning?
- You removed an edit request
- You self-pended or accepted your profile
- You argued with a crew member
- You made changes to your profile that you are not allowed to make (radically altering backstory after the character has been accepted, adding an MTA that is not approved, etc)

What does a profile warning mean?
- Receiving three profile warnings on the same profile will result in a guild warning, and the removal of the profile.
- After three guild warnings, you are banned from the guild.

Do warnings go away?
- Yes and no. You will always have a warning for that profile logged in crew records. But, the warning itself will be removed from your profile thread the next time your profile is checked.
- If there is a warning on your student's profile and it does not get removed after one school year, please contact the crew member who most recently checked your profile and ask if they will take it off.
